This year and beyond, the factors that drive organizations to compare cloud ERP software solutions often begin with a few strong focuses. In particular, product quality, production and process monitoring, increased use of analytics and business intelligence (BI) applications and the need for greater mobility are becoming necessities for companies adopting new enterprise resource planning, aka ERP software.

Companies adopting ERP in the cloud also focus on being smart about planning and managing rapid growth. Manufacturers tend to be more selective and successful with the growth strategies they pursue based on the insights gained from their cloud-based manufacturing ERP systems, resulting in mergers and acquisitions. The new business entities created from these transactions seek to improve product quality and speed.

Also, there’s talk about a connection between cloud ERP software and the COVID-19 pandemic response, which has called for accelerating the digital transformation. We’ll probably see an increase in the adoption of cloud ERP systems in the coming years to develop more agile, responsive supply chains.

What Is Cloud ERP Software?

Cloud ERP solutions are ERP systems that employ cloud computing so that users can access the system through the Internet. Cloud software is otherwise known as Software-as-a-Service (SaaS). This title alludes to the fact that cloud systems are available on a subscription basis, require no infrastructure and are centrally hosted by the vendor.

Cloud ERP Definition

Mordor Intelligence predicts the cloud migration services market will reach $448.34 billion by 2026.

Cloud vs. On-premise Solutions

There are a couple of crucial differentiators related to cloud-based software. First, it’s typically more affordable because it’s billed on a subscription basis, eliminating enormous upfront fees. Another cost-saving benefit is that no unique infrastructure is necessary. Implementing this infrastructure means you don’t need to purchase any new hardware or worry about associated maintenance costs.

Another differentiator of cloud-based ERP software is the quick and easy implementation cycle. It only requires an Internet connection to launch, and you accelerate the onboarding process due to the user-friendly nature of cloud software. Also, you can access cloud programs from any location on any mobile device with a strong internet connection.

Types

There are several ERP cloud system types from software as a service (SaaS) to private and public clouds.

SaaS

Think of SaaS and on-premise as owning a digital bank account versus always keeping money on hand. If you digitally store your money, you keep tabs on it via apps or portals to track incoming and outgoing cash. SaaS enables you to monitor your company’s operations in real-time via any internet-connected device in any location, from phones and tablets to laptops. You’ll never miss a beat.

Like storing your money under a mattress or giant piggy bank, on-premise has numerous limitations. You can’t receive real-time updates if you’re traveling to another worksite. You also become more susceptible to cyberattacks with limited data retrieval tools.

SaaS and other cloud types provide numerous security tactics to safeguard your information, such as data encryption, accessibility/user permission tools, two-step or multi-factor authentication, etc.

Unlike on-premise, a vendor’s server hosts SaaS, and you don’t have to worry if your servers and computers are hacked, damaged or temporarily disabled.

Multi-tenant SaaS

Multi-tenant SaaS, in essence, means that the solution serves more than one customer. Each client gets a piece of the software and infrastructure and is invisible to other customers. It’s similar to living in an apartment with other tenants because you share the same space but have individual rooms.

Some perks include:

  • Affordability: Typically, because multi-tenant SaaS shares services, databases and other resources, the fee is condensed compared to a single-tenant framework.
  • Less Maintenance: All maintenances, if any, along with updates and new features, fall on the vendor. Plus, maintenance fees merge into the subscription fee.
  • Boosts Efficiency: Since this cloud ERP type serves multiple clients, it offers vast, reliable resources to streamline processes to help you enhance productivity.

Single-tenant SaaS

Conversely, single-tenant SaaS models serve one customer like a house serving one homeowner. You can also customize this system to meet your needs.

Here are a few advantages that come with this system:

  • Better Security: Since you’re the only customer on this infrastructure, your data is more secured, and you don’t have to worry about another client accidentally reviewing your sensitive materials.
  • More Available Resources: There’s infinite resource availability because you’re not sharing with other clients.

Public Cloud

Public cloud, like a regular cloud or SaaS structure, allows a vendor to host a program on their servers. You’re not responsible for maintenance or upgrades. But you can’t control security tactics. Although you own a private piece of the solution, and data breaches are rare, it’s best to talk to your vendor about security measures like data encryption and multi-factor authentication to ensure your information is protected.

Private Cloud

Unlike the public cloud, the private cloud allows you to host the platform on your data center or intranet behind a protected firewall for extra security. It’s similar to on-premise, but it runs on the cloud. However, like on-premise, you’re responsible for maintaining updates and maintenance. You may also have to replace your servers and other hardware on occasion.

Primary Benefits

Frequently, it’s the most urgent problems about product quality – productivity disconnects between sales, engineering and production; and meeting order delivery dates – that motivate organizations to improve. High-growth organizations face these challenges and more often because their existing ERP system can’t scale for the new production volumes and complexity of growth.

Cloud ERP Benefits

Legacy systems could manage production with fewer suppliers and products and simpler distribution, selling and service channels. Given how fast many businesses grow today, legacy systems’ contributions to more significant growth are limited. These factors and more are why cloud ERP solutions are seeing rapid adoption. The following are the top factors driving success for cloud ERP vendors this year and beyond:

Improved Security Tactics

Leveraging cloud solutions lets you employ diverse security measurements. The Identity Theft Resource Center said there were 1,291 total data breaches in 2021 alone.

Some ideal security measures to ask cloud ERP vendors about include:

  • Two-step or Multi-factor Authentication: Creating a long password isn’t always enough to keep out cyber thieves. Enacting other security measures like security questions only you know the answer to, fingerprint or retinal scanning, obtaining codes via text messages or phone calls and more can better guard your sign-in experiences.
  • Data Encryption: This measure scrambles your information into indecipherable code that can only decode with a unique decryption key. If hackers did enter your system, they couldn’t steal anything without the decryption key.
  • User Permissions: Allocate permissions for role-based employees like managers, supervisors and more to see sensitive intel, keeping newbies or other non-specified employees out.

Real-time Analytics with BI Tools

Analytics, including BI, have become essential for running any business type. Across all industries, business analytics (BA) and BI deliver insights that weren’t always available and as they occur in real time, enabling users to know more about their operations.

Cloud ERP systems designed on a single database craft analytics and reporting to improve productivity. Cloud-based ERP systems are also becoming adept at providing advanced metrics, including overall equipment effectiveness (OEE) for manufacturing.

More Support Options

Typically, cloud ERP solutions offer 24/7 support because they are subscription-based. On the other hand, on-premise solutions usually have higher price tags because of different help packages, i.e., bronze, gold, platinum, standard, premium, etc.

Conducting research offers a better understanding of how a cloud or on-premise support team works. Ask cloud ERP vendors directly about support success/failure rates, reliability, turnaround times and more. You can also try searching for and conversing with existing users to hear about their customer support stories. Some experiences may be downright scary or have happy endings. Others may describe it as a hit-or-miss experience.

Think of selecting software like a detective solving a mystery. If you don’t cover all of your bases and talk to the right people, you’ll have more holes and questions than solid answers.

Compare Top ERP Software Leaders

Enhanced Accessibility

This solution type offers complete accessibility. Let’s say, for example, that you have to travel to numerous worksites in and outside of the country to talk to different leaders and stakeholders. You can pull up specific KPIs and other information on your phone, tablet or other mobile device and quickly show others your vital stats. Everyone also receives real-time information to stay on top of things in and out of the office.

Lower Operating Costs

It costs less to implement cloud software than most on-premise programs. As aforementioned, you can afford cloud solutions with flexible, affordable subscription prices, which outdoes big on-premise licensing and maintenance expenses.

Consistent Updates

Using a solution’s latest features and upgrades means that you’re operating at maximum effort. These solutions enable you to receive updates and modifications as soon as they’re readily available. You don’t have to worry about buying or maintaining these add-ons alone. Typically, cloud ERP vendors supply updates automatically. The last thing you want is to perform your workflows and other duties on an outdated system.

Simple Scalability and Performance Improvements

Cloud ERP solutions improve scalability and business performance. Companies rely on the real-time data available from cloud ERP software to be more selective and successful with the growth strategies they pursue. A big part of any successful growth strategy is turning customers into fans and evangelists.

With most revenue coming from existing customers via upselling and cross-selling new products and services, having real-time data on merchandise and delivery dates is key to growth.

You also need to have a clear picture of how big you want your business to be in the next five to 10 years. Are you looking to downsize a bit or reach Fortune 500 status? This program can help you grow or shrink as much as possible with the right employees, machinery and other resources.

I like how you said that Oracle can get a lot of routine tasks done with automated integrated applications. I feel like a ton of companies are either ignoring ERP software or don’t see how they can help them. I think it’s a great idea to have basic tasks and routine tasks automated by an ERP system.

    Madeline Reinbolt - January 31, 2020 reply

    Hi Ferry,

Our research team is looking into these products and the possibility of including them when we update this article.

They believe that SAP S/4HANA Cloud is a very robust and scalable solution suited for large companies and enterprises. Users can choose the required modules related to finance, sales, distribution, inventory, management, manufacturing, etc. It runs on HANA, the columnar, in-memory relational database of SAP and delivers better performance than the traditional relational databases. They will likely include this product when we update.

SAP Business ByDesign is for mid-sized companies and isn’t suited for process manufacturing industries. It’s an out-of-the-box solution with various modules related to finance, CRM, project management, procurement, supply chain management and manufacturing. It also runs on SAP HANA databases. It’s offered as a pre-packaged subscription with minimum options to customize and cherrypick the modules. They will likely not include this product when we update.

Workday offers modules related to financial management and project management. It doesn’t provide modules related to distribution and manufacturing. They will likely not include this product when we update.

    Hi Mian,

Thanks for reading and providing an additional vendor recommendation. I’ll forward your thoughts to our analyst team for further review. Sometimes, a product isn’t included on a list due to the specific scope of an article. If you’re looking for some additional information or a more detailed review of SAP S/4HANA, send us an email at [email protected] and we can provide more information about the program.

    Cheers,
    Lindsey

    No S/4HANA Cloud?

    Kim O'Shaughnessy - March 15, 2019 reply

    Hi TS,

Thank you for reading! While SAP didn’t make it to this list, it does have a top spot on our ERP Leaderboard found here: https://www.selecthub.com/erp-software/. We fully recognize this vendor’s contributions to the ERP market, however, we did not feel that it should be listed here per the scope of the article.
