Industry Expertise

Founded in 2003, TimeTrex serves users in more than 50 countries. It offers cloud-based, on-premise and open-source versions of its software, making it a versatile and customizable solution.

Key Features

Time and Attendance

  • Time Tracking:  Managers can access timesheets at any point throughout the pay period and track employee hours in real time, providing up-to-date information about employee time and attendance.
  • Time Clocks:  Allow employees to clock in and out of their shifts from a desktop computer, a mobile device or through facial recognition time clocks that rely on biometric verification.
  • Unlimited Accruals:  Track vacation, sick and earned time automatically. Enable employees to check their accruals independently, freeing up HR administrators and managers.
  • Permissions:  Set permissions to only allow employees to clock in or out of shifts at specific times, from designated locations and even specific devices.

Employee Scheduling

  • Scheduling:  Generate schedules automatically and access them from any device 24/7. TimeTrex supports multiple schedule types, including unique, recurring, rotating, multi-week and more.
  • Request Management:  Employees can submit schedule requests (such as vacation or personal time) directly through the platform. From there, managers can set the workflow to direct the request to the appropriate team member.
  • Mobile Synchronization:  Access schedules from any internet-connected device or allow employees to synchronize schedules with the calendar on their mobile device.

Administration

  • Job Costing:  Identify costs associated with individual projects, employees, branches, departments and more. Assess costs on a project-by-project basis to find opportunities for cost savings.
  • Document Management:  Track, manage and revise documents through the platform. Users can attach documents to jobs, clients and more for convenient storage and tracking. Managers can view revision histories as well as who made changes.
  • Invoicing:  Add an unlimited number of customers, track their account balances and set up payments. The system can print invoices, process forms, send invoices via email and accept payments.
  • Expense Tracking:  Employees can track their expenses electronically and upload photos if needed. Then, assign expenses to the relevant department for reporting. This functionality integrates with the payroll capability to automate reimbursements.

Payroll

  • Time Tracking Synchronization:  Automatically calculate employee hours based on employee hours tracked by the time and attendance functionality.
  • Tax Administration:  Leverage the built-in tax wizard to automatically calculate and deduct federal, local and state income taxes. At the end of the year, generate standard tax forms, such as W-2s or 1099s, or choose from international tax forms.
  • Deductions:  Set and calculate custom deductions, including those for benefits, insurance, garnishments and more.
  • Multiple Payment Options:  Print and distribute paychecks traditionally or allow direct deposit to employee bank accounts.
  • Payroll Administration:  Generate electronic pay stubs, which employees can choose to view electronically or print out for their records.
  • Integration:  Synchronize the system with other leading payroll solutions (such as ADP, Quickbooks or Ceridian) for more robust payroll capabilities.

Core HR

  • Performance Management:  Conduct annual performance reviews, provide employees with direct feedback and track disciplinary actions. Managers can also define and set KPIs to measure employee performance.
  • Employee Information Management:  House and organize all information in one centralized database. The system can track employee qualifications (i.e., skills, licenses, certifications, education, etc.) and personal employee information (i.e., contact information, jobs, salary, dependents, etc.).
  • Recruitment:  Manage the entire hiring process, from posting jobs to extending an offer. Open positions can be posted both internally and externally, including information about the type of employment and salary.
  • Applicant Tracking System:  Create profiles for each applicant, allowing jobseekers to fill out applications with auto-populate capabilities. Profiles can contain information about applicant employment history, availability, contact information and even contact information for references.

Limitations

While a robust and highly customizable solution, TimeTrex is not an ideal fit for every business. As with every solution, it’s important to weigh the pros and cons to determine whether the platform will meet your needs. At the time of this review, these are the known limitations based on user feedback:

  •  Interface is difficult to navigate
  •  Overwhelming number of feature
  •  Limited mobile capabilities
